Guide to E-Filing Process

This guide provides a detailed process for e-filing tax returns, ensuring proper execution and submission. It offers a step-by-step approach to manage tasks efficiently throughout the day, ensuring that all signatures are in place, and submissions are correctly filed.

The primary goal of this guide is to ensure that e-filing is completed accurately, with all necessary checks and confirmations to prevent errors and ensure compliance.

Scope

This guide applies to the process of preparing and submitting e-files for business tax returns, covering initial checks, file preparation, submission, and post-submission procedures.

Use Case

This guide is used when an individual responsible for e-filing needs to ensure that all procedures are correctly followed, from initial preparation to final submission and verification.

Workflow

Step 1: Initial Check

  • Start your day by checking all tasks for any high-priority returns and e-files. Ensure to check tasks first thing in the morning and last thing at night.

Step 2: E-File Preparation

  • Ensure that all e-signatures are properly executed and that all necessary signatures are present by clicking the little arrow to the right of the “Signed Return” line.

  • Find the member in GoSystem, check the box next to that line and select “Info”
  • You should have created e-files in review mode to identify any XML errors before submission; verify they are qualified.
  • Best Practice: Ensure that the federal e-file is created before any state files, as the federal file is attached to the states.

Step 3: Submission

  • Confirm that the year and tax type are correct, then enter some of the member’s name and click Display to the right of the page.

  • Review the results and verify the taxpayer's name against the business name you are selecting to ensure the correct member's return is filed. Check the “All” box next to the correct member to remit all of their jurisdictions. Select “Submit for E-File” when you have verified your selection.

  • Best Practice: If you see states that were removed from the return, Do Not Submit. This means that a state was added and an efile was created before the state was removed. Please flag instances like this.

Step 4: Post-Submission

  • You can always check the e-filing status within Info to confirm submission if you are uncertain about whether submission was successful or need to review anything about the submission.
  • Update the completed date and ensure that the return is locked after submission. This is very important, as it protects your filings from being changed without your knowledge!

Step 5: Handling Rejections

  • If there's a rejection, navigate to the info and e-filing sections to find and address the issues. You will need to remove the Completed Date to make any changes and resubmit. Once you have resubmitted, please remember to add the new Completed Date.

Step 6: Complete the Task in BTR V2

  • Jean, our Tax Project Manager, monitors our submissions for acceptance or rejection. She won’t get a flag if you don’t go complete the task.
